This article explains how to use the Output Rule and Output Rule Group forms to control how transactions (such as AR invoices) are generated and delivered to customers.
The Output Rule Form
Use the Output Rule form to define a rule that determines how to deliver a transaction of a particular type (for example, emailing an AR Invoice) to the customer.
An Output Rule determines how to deliver a transaction of a particular type, defined by the Application ID – Process ID pair.
How to access the Output Rule form
- Using the search bar, search for Output Rule.
- Select Output Rule from the results.
- The Output Rule dialog form appears.
Field reference
| Field | Description |
|---|---|
| Rule ID | A unique identifier for the rule. Click the Look Up (binoculars) button to open a search dialog listing Rule ID and Description columns, allowing you to select an existing Output Rule with the same Application and Process as the current selection. |
| Application | The financial Application module the output rule relates to. |
| Process | The business process (document) the output rule relates to. |
| Description | A user-friendly description of the output rule. |
Output Settings
The Output Settings group contains the rule's configuration. These settings configure the first part of the output when the Split Output box is checked.
| Field | Description |
|---|---|
| Output Type | A drop-down list of output types available for the selected Application–Process combination (for example, PDF File or EDI 810 Invoice File). |
| Destination Type | A drop-down list showing how the generated output will be stored (for example, Attachment, File System, Content Management System, or Email Queue). |
| Form/Template | A drop-down list for selecting the form or template used to produce output of the selected type. |
| File Mask Code | A drop-down list of auto-numbering rules used for output file names. Available values depend on the selected Application, Process, and Output Type. |
| Output Directory | The path to the directory where output files are stored. |
Splitting output
Use the Split Output section to split output into two parts. Enter a value in the Split Limit box to specify the number of data records to process before producing the secondary output.
The Output Rule Group
Overview
An Output Rule Group combines Output Rules so that the same transactions can be delivered in multiple ways during processing.
Note: A group can only include rules that share the same Application and Process pairing.
How to access the Output Rule Group form
- Using the search bar, search for Output Rule Group.
- Select Output Rule Group from the results.
- The Output Rule Group dialog form appears.

Additional details
- Each rule has a unique Rule ID and a user-friendly Description that explains its purpose.
- A rule can be configured to split its output into two parts by setting the Split Output flag. In that case, the system sends data records to the first output until it reaches the Split Limit; the remaining data becomes the secondary output. This is why each output rule provides two sets of similar configuration settings.
- Output Rule Type determines the kind of output a rule produces — printed output, emails, export files, EDI 810 files, and so on. The available Output Rule Types depend on the selected Application ID – Process ID combination.
- The Output Template attribute determines the template or form used to generate output of a specific type (for example, a check form, a Crystal Reports template, or an email template).
- Some Output Rule Types require additional Output Parameters, which are a collection of key–value pairs.
- For each output type, you can specify delivery options by configuring Output Destination settings. Each destination has a Destination Type that determines where the output is stored (for example, file system, outgoing email queue, an FTP site, or a content management system). If needed, an Output Destination can be configured with an Auto-Numbering Rule for output file names and an Output Directory path.
